Two Australian businesses may both describe themselves as fulfilment providers while operating in very different ways. One might store inventory and dispatch individual e-commerce orders as they arrive. Another may receive a data file and 40,000 physical components, assemble them into individual packs, personalise and address them, then lodge the entire campaign with Australia Post on a specific date.
The difference matters.
Send a large mail fulfilment campaign to a provider designed primarily for individual e-commerce orders and you could find yourself paying per-order picking fees across an entire bulk run. By the time you discover the mismatch, your stock may already be in transit and your campaign deadline getting closer.
Understanding what happens between storage and dispatch and asking the right questions before your stock leaves your premises – can save considerable time, money and frustration.
What happens to your product between storage and dispatch?
At its simplest, a fulfilment centre stores a client’s products before picking, packing and dispatching them according to specific order requirements.
At AlphaMail’s facility in Sefton, NSW, we can handle goods weighing up to 150kg and measuring up to two metres in height or length. Stock is held in a temperature and humidity-controlled environment and managed through warehouse management software, providing greater visibility and control throughout the process.
For e-commerce fulfilment and delivery, orders will typically arrive within two to five working days, depending on the delivery service selected and destination.
Where things become more interesting is the packing itself.
Automated machinery is ideal for uniform products and high-volume campaigns where consistency and speed are essential. But not everything belongs in a machine.
An irregularly shaped product, delicate item, ribbon-tied gift box or six-piece component pack that must be assembled in a precise sequence may require hand assembly.
Real-world campaigns can require both.
That’s why the cost of packing and fulfilment isn’t always determined by volume alone. The structure of your product, how it needs to be presented and the level of manual handling involved can all influence the final price.
E-commerce 3PL and mail fulfilment are different operations
This is one of the most important distinctions to understand when choosing a fulfilment centre.
A third-party logistics provider, or 3PL, is generally structured around a continuous flow of individual orders. Inventory is managed at SKU level and products are picked, packed and dispatched as customer orders arrive.
Mail fulfilment, on the other hand, is typically structured around a campaign, batch and specific lodgement date.
The work may begin with your customer data rather than an individual online order. Addresses need to be cleansed and verified before mail is produced, sorted and barcoded according to Australia Post requirements.
This is an area where AlphaMail’s experience as both a fulfilment provider and mailing house makes a significant difference. Our addressing services are AMAS-certified, helping ensure eligible mail meets the required standards for Australia Post bulk mail services.
At this scale, data accuracy matters.
Australia Post delivers billions of items to millions of addresses across the country. Accurate data and correct sorting help mail move efficiently through this enormous network. Errors can result in delays and may affect access to preferential postal rates.
Volume also determines which postal services are available. Australia Post’s PreSort Letters service, for example, requires a minimum of 300 articles per lodgement. A run of 200 letters would therefore be treated differently.
So there’s a relatively simple question to ask:
Does your job have a data file, a campaign deadline and one bulk lodgement?
You’re likely looking for a mail fulfilment provider.
Are you dispatching individual online orders as customers purchase?
A traditional e-commerce 3PL may be what you need.
What can a mail fulfilment centre handle?
At AlphaMail, fulfilment goes well beyond storing and dispatching stock.
Our Sefton fulfilment centre handles e-commerce orders, product packs, catalogues, marketing packs, promotional items, retail and DRP items, warehouse kitting and other direct mail services.
We also manage regular statement runs and other transactional communications. These require a different level of personalisation, data handling and tracking because they form part of an organisation’s ongoing customer communication cycle.
The real advantage appears when a campaign needs several services at once.
You might, for example, need 12,000 personalised letters lodged through Australia Post and another 800 sample boxes dispatched by courier.
Rather than coordinating separate printers, mailing houses and 3PL providers, AlphaMail can manage both streams from the same brief and facility.
One team. One point of contact. And far fewer moving parts for your marketing or operations team to coordinate.
Five questions to ask every potential fulfilment provider
Choosing a fulfilment centre on price alone can be an expensive mistake. Before moving your stock, ask every provider these five questions.
1. How long can you hold my stock, and under what conditions?
Storage requirements vary significantly between products. Temperature-sensitive chocolate and printed catalogues, for example, have very different needs during a Sydney summer. Make sure the environment is appropriate for your stock.
2. What packing methods do you offer?
Ask whether the facility provides automated and hand assembly, and how your particular product will be handled. Understanding the packing method also gives you a much clearer picture of the true cost.
3. Are your systems AMAS-certified for Australia Post?
If your campaign includes addressed mail, this matters. AMAS-certified address matching can help eligible mail meet Australia Post requirements and access applicable bulk postal rates. Don’t be afraid to ask a provider to clarify exactly how their addressing process works.
4. What are your maximum dimensions and weight limits?
Don’t assume every fulfilment centre can accommodate your products. AlphaMail can dispatch goods weighing up to 150kg and measuring up to two metres, but limits vary between providers.
5. Who is responsible for lodgement, tracking and the overall campaign?
Know who owns each stage of the job and make sure responsibilities are clear from the beginning. For complex or transactional campaigns in particular, having a dedicated point of contact can make an enormous difference.
These questions take the conversation beyond a headline price and help you understand how your campaign will actually be executed.
What you need for an accurate fulfilment quote
A useful quote starts with useful information.
Three things have the biggest influence on fulfilment pricing: what you’re sending, how many you’re sending and when everything needs to arrive.
If your campaign also includes personalised mail, we’ll need to understand the data requirements, addressing and Australia Post lodgement involved.
The more detail you can provide upfront, the more accurately a fulfilment provider can determine the right process and cost for your project.
For more than 40 years, AlphaMail has supported Australian organisations from our facility in Sefton, NSW, working across fulfilment, mailing and customer communications.
If you’re planning a campaign, product pack, catalogue distribution or regular fulfilment program, tell us what you’re sending, the volume and your required delivery date. Our team can talk you through the options and help determine the right approach for your job.
FAQs
What is a fulfilment centre?
A fulfilment centre stores a client’s products before picking, packing and dispatching them according to order requirements.
There are different fulfilment models. E-commerce 3PL providers generally dispatch individual orders as customers purchase, while mail fulfilment is typically designed around larger batches, campaign requirements and specific lodgement dates.
What’s the difference between a fulfilment centre and a mailing house?
They’re related, but they don’t necessarily do the same work.
A mailing house specialises in producing, personalising, preparing and lodging mail through Australia Post. A fulfilment centre generally stores products and manages their packing and dispatch.
AlphaMail provides both mailing house and fulfilment capabilities from our Sefton facility, allowing integrated direct mail services, product fulfilment and multi-component campaigns to be managed through one provider.
How long does product fulfilment take?
Delivery through AlphaMail will generally take between two and five working days, depending on the delivery service selected and the destination.
Bulk campaign fulfilment works differently, with items prepared around scheduled dispatch and Australia Post lodgement dates.
Is hand assembly available?
Yes.
Automated equipment is excellent for high-volume, uniform work, but some products need a human touch. Fragile or irregular items, sample packs that must be assembled in a specific order, and gifts requiring special presentation may all require hand assembly.
AlphaMail can manage both automated and hand-assembled packing and fulfilment from the same facility, allowing us to select the right approach for the job.
Find the right fulfilment centre for the job
The question isn’t simply whether you need a fulfilment centre. It’s what kind of fulfilment centre your job requires.
For straightforward individual e-commerce orders, a traditional 3PL may be exactly what you need. But when your project involves customer data, personalisation, kitting, direct mail, Australia Post lodgement or multiple distribution streams, you need a provider equipped to manage that complexity.
AlphaMail brings fulfilment and mailing expertise together under one roof, helping Australian businesses simplify complex campaigns without compromising accuracy, presentation or service.
